A fictional EV-charger enquiry

A customer writes: “I want a home charger. What will it cost?” Location, parking arrangements and a clear description may still be missing. An assistant can summarise the available facts and flag missing fields. Unknown information must remain unknown.

This is a process example, not a measured customer result. The assistant does not decide electrical suitability, the required technical solution or a binding price. Those decisions stay with qualified staff.

From message to a reviewable file

Agree which details are needed for the first assessment. Keep a reference to the original message and prepare a summary, missing-information list and draft reply. A staff member compares the draft with the source before anything goes to the customer.

A file is ready only when the agreed fields are complete and the designated reviewer explicitly accepts it. An incoming message, AI answer or automatically created task is not itself an accepted case. Duplicate messages about one job belong to the same enquiry.

Which integrations are needed?

A simple route connects one form or shared mailbox to one record system with a file and follow-up task. Check documented access, required permissions and whether the current licence allows that access. A familiar software brand does not guarantee a working integration.

Define what happens during outages, with missing details and with duplicate enquiries. A manual queue prevents a failed step being silently treated as finished. Extra accounts, calendars and automatic sending are included only when explicitly agreed.

Prepare a useful pilot

Collect anonymised examples: complete, incomplete, duplicate and outside your service area. Describe what the reviewer should see and who performs the next step. Measure today’s handling time, then include checking and corrections when assessing the new workflow.
